Luggage forwarding in Japan: sending bags between hotels

Traveller with a suitcase at a hotel counter before shipping

Luggage forwarding in Japan lets you send a suitcase ahead while travelling with a smaller bag. Hotel-to-hotel delivery works only when the sending location can accept the shipment and the next accommodation agrees to receive it. Confirm both ends and the delivery date before handing over anything you need tonight.

Do not plan around the assumption that a suitcase sent this morning will reach another city this evening. Yamato's accommodation FAQ asks you to send before the counter's cut-off at least two days before check-in, or three depending on distance. This guide, checked in October 2026, explains how to turn those conditions into a workable transfer.

Decide where the suitcase should meet you

Start with the next stay where you actually need the large bag. That might be your next hotel, or a later hotel after a short stop. Forwarding is useful when carrying a suitcase would complicate several transfers, but it creates a period when its contents are unavailable. Choose that period deliberately.

RoadMe makes it more convenient to build a personal trip plan around your dates, interests and pace. Try planning the days you will travel light first, then arrange luggage delivery separately around the accommodation that has agreed to receive it.

The Japanese term takuhaibin describes parcel delivery; TA-Q-BIN is Yamato's service name, often written takkyubin in travel guides. The name does not make every counter, hotel and delivery product interchangeable. This article uses Yamato's published conditions as a concrete example, not as a rule for all carriers.

Forwarding and storage solve different problems. A locker holds a bag where you leave it; delivery moves it elsewhere. If you only need a few hours before check-in at the same hotel, ask about storage first. Avoid paying for a transfer that does not improve the journey.

Ask both hotels before making the shipping plan

Ask your current accommodation whether it can arrange the chosen carrier's collection, when the daily collection closes and what payment it accepts. A reception desk is not automatically a parcel agency. The hotel may direct you to a carrier office or participating convenience store instead.

Ask the receiving hotel whether it can accept your particular suitcase for your booking, on which date and for how long it can hold it. Provide the guest name and check-in date. Ask whether storage or handling costs extra and whether the desk has a delivery-hours restriction.

A practical message is: “Can your reception receive and hold one prepaid suitcase for my booking, arriving before check-in? My reservation name is … and I check in on … . Which delivery date and address should I use?” This is a request for confirmation, not a substitute for the answer.

Use the destination's instructions rather than guessing from a map pin. Different branches can have similar names, and an accommodation's postal address may not be sufficient for the actual handover. Copy the confirmed building, branch, postal code and contact details together.

For a rental without a staffed reception, do not presume the owner will wait for a courier or that a key box accepts a suitcase. Ask the carrier about collection at a suitable sales office if appropriate, including identification, hours and holding conditions. Arrange that alternative before sending.

Work backwards from check-in, not forwards from the train

For Yamato shipments to accommodation, the published instruction is to send before the local cut-off at least two days before check-in; three days may be needed depending on distance. It also states that a delivery time cannot be specified for this arrangement. Do not replace that with an assumed morning slot.

For example, with Friday check-in, ask whether Wednesday hand-in before the collection cut-off is sufficient for your exact route. If the carrier requires three days, the corresponding hand-in is Tuesday. These are calendar examples illustrating the instruction, not a delivery confirmation for any named city pair.

Distinguish the opening time of a desk from its final collection. A counter can remain open after the day's dispatch has gone. Ask for the last hand-in time that counts for the intended shipping date, then allow time for weighing, paperwork and payment before it.

A short intervening stay can make the next hotel the wrong destination. If you check out before the suitcase can arrive and be released to you, choose a later agreed hotel or keep the case. Sending to every overnight stop can create more coordination than it removes.

Check service notices and the route's estimated date again at hand-in. Weather, traffic and operational disruption can affect delivery. Keep enough essentials for the confirmed gap and a reasonable contingency; do not make an important departure depend on the earliest possible arrival.

Traveller packing clothing in a small overnight bag

Pack the bag that stays with you first

Before closing the suitcase, prepare what you will use until it is actually available again. Think through the next evening, night and morning, rather than packing only a daytime sightseeing bag. Add whatever a child or travelling companion will need during the same interval.

  • Keep passport, money, payment cards and travel information with you.
  • Retain necessary medication and personal items you cannot comfortably replace.
  • Pack suitable clothing, underwear and toiletries for the nights apart from the case.
  • Keep your phone, charging arrangements and contact details available for tracking.
  • Check rain or cold-weather items for the period before collection.

Yamato lists cash, payment cards and passports among items that cannot be sent by ordinary TA-Q-BIN. Those belong with you in any event. Keeping essentials outside the shipment is different from suggesting that every other item is accepted: declare the actual contents and check restrictions.

Electronics, batteries, aerosols and other potentially restricted contents need particular attention to the route and service. Yamato publishes air-transport restrictions and a change affecting certain battery-containing products for non-contract customers from 31 December 2025. Ask before including them; do not apply airline cabin-baggage rules to a courier shipment.

Photograph the closed case and its existing condition for your own records. Close loose pockets, secure straps and check handles and wheels. Ask about required packaging or a protective cover for your actual bag instead of assuming every soft bag or fragile purchase is suitable.

Size, weight and the price you are comparing

Yamato's ordinary TA-Q-BIN categories use the sum of width, length and height in centimetres, alongside a weight limit. The higher applicable category governs when size and weight point to different bands. Measure the packed case, including protruding parts, and let the accepting counter confirm its classification.

Example categoryCombined dimensions up toWeight up to
Size 120120 cm15 kg
Size 140140 cm20 kg
Size 160160 cm25 kg
Size 180180 cm30 kg
Size 200200 cm30 kg

For example, a packed case measuring 70 × 45 × 25 cm totals 140 cm. At 18 kg it fits the size and weight limits of Size 140; at 23 kg the weight pushes it into Size 160. This is a classification example, not a shipping quotation or a promise that the contents are accepted.

The ordinary service's maximum is 200 cm combined and 30 kg, with a separate maximum of 170 cm for any one side. Additional restrictions apply to items requiring a fixed orientation. Some convenience stores cannot accept the larger categories, so confirm the actual branch rather than relying on a chain logo.

There is no single nationwide suitcase price. Ask for a quote for the departure and destination, confirmed category, service and payment method. Check whether hotel handling, packaging or another service charge is additional. Airport delivery is a separate quotation and should not be silently substituted for hotel-to-hotel delivery.

Compare the total for the same number of bags. A quoted amount for one piece is not a couple's total, and a discount may depend on the service, category or drop-off method. Do not combine every advertised discount yourself; ask the counter for the final payable amount.

At the counter: address, guest name and receipt

Prepare the receiving hotel's confirmed address and postal code, its name, your reservation name and check-in date, plus contact information that can actually reach you. Keep the hotel's acceptance message available. This reduces the risk of sending a bag to the right building under an unrecognisable guest name.

Yamato says waybills can be written in English. Use the form for the chosen service and ask the counter which information belongs in each field. The operator's accommodation instructions use the guest name with “c/o”. Do not translate a hotel's name yourself or invent a local phone number.

Describe the contents accurately rather than writing only “things” or an unexplained model number. Tell the accepting staff about restricted or special-handling items before payment. A general domestic form can contain fields that do not apply to your accommodation arrangement; follow the specific service's conditions.

Arrange prepaid shipping for the guest shipment. Yamato's accommodation FAQ does not allow sending it with the delivery charge collected from the arriving hotel guest; the employee-recipient exception is a different situation. Do not expect reception to advance money on your behalf.

Before leaving the suitcase, check the destination, reservation name, agreed arrival date, number of pieces and service with staff. Retain your receipt and tracking details. Keep a private photo of the paperwork if useful, without exposing another guest's information or posting your address and shipment number publicly.

If you need same-day delivery or an airport handover

Same-day delivery exists on selected services, but it is not a property of every Japanese luggage shipment. Check the exact origin, destination, participating hotel, booking deadline, hand-in time and available arrival period. Your train reaching Kyoto quickly does not establish a suitcase's courier timetable.

Airporter, for example, publishes a Tokyo–Kyoto service restricted to eligible departure hotels and specified areas, with a reservation deadline of 23:00 the previous day. This demonstrates a separately bookable option, not a general same-day promise for every hotel in either city. Check the current booking choices and handover instructions before relying on it.

Yamato's Airport TA-Q-BIN to a departing airport has its own timetable: send at least two days before departure, or three in some areas, so the shipment reaches the airport by the previous day. Collection is on the flight date. Confirm the supported airport, terminal, counter hours and required documents.

Keep airport arrangements as a separate final leg. A hotel-to-hotel receipt does not arrange collection at your departure terminal, and a late-open terminal does not establish the courier counter's hours. For an early flight, confirm the counter can release the case before your airline's baggage deadline.

Tracking, collection and a changed plan

Use the carrier's own tracking service with the number on your receipt. If delivery is unclear, ask the carrier and the receiving hotel with the same shipment details. A hotel booking reference alone is not the parcel's tracking reference.

If your accommodation changes, contact the carrier before assuming the destination can be edited. Tell both hotels about the change. Any redirection, additional fee or new delivery date must be confirmed; sending a second message to the original reception does not automatically redirect a parcel in transit.

At the destination, ask reception for the case under the same guest name. Check that it is yours and inspect its condition before discarding the receipt or packaging. If something is missing or damaged, retain the records and contact the carrier promptly under its actual claims procedure, without assuming automatic compensation.

RoadMe helps turn the time without a large suitcase into a personal sightseeing plan that fits your interests and available hours. Try building a comfortable day around confirmed accommodation and luggage arrangements, rather than manually fitting every visit between them.

If your next stay is compact, read what to check about capsule hotels and luggage storage. For a bathing stop while travelling light, the separate guide to Japanese onsen rules and private baths explains the entry conditions; a bath visit does not itself arrange baggage storage.

The final decision is simple: an agreed recipient, a confirmed delivery date, enough essentials with you and a retained receipt. If one is missing, settle it before sending. Forwarding works best when the suitcase's schedule is planned as carefully as your own.
