Before booking a last-minute trip, confirm that you can enter your destination, reach your accommodation, afford the complete journey and do the things you are travelling for. A detailed sightseeing itinerary can wait. Entry documents, arrival arrangements and unavoidable costs need attention before payment.

This checklist works for a spontaneous weekend, a short-notice holiday or a package departing soon. International travel adds destination and transit requirements; domestic trips still need workable transport, accommodation and booking terms.

## Set your limits before browsing deals

Write down your available dates, latest acceptable return time and total spending limit. Decide which departure points are practical and what you want from the trip.

Separate essential requirements from preferences. A direct journey, accessible room or suitable sleeping arrangement may determine whether a trip works. A particular view or optional excursion may be easier to change.

Check the effect of departure times too. An early flight from a distant airport might require an overnight stay. A late return might leave little sleep before work.

Once you have a destination in mind, identify a few places you would like to visit. This gives you a useful reference when considering the location of available accommodation.

> To outline a short visit, you can try [RoadMe](https://roadme.io/?ref=roadme.io): it creates a day-by-day plan around your dates, interests, pace and budget. Use it to identify priorities for the time you have.

Keep more than one workable option open. Flexibility is useful when it lets you change the destination or travel dates without losing the purpose of your break.

## Treat entry requirements as the first booking decision

For international travel, check requirements for your nationality, travel document and complete route. A passport that has not expired does not automatically meet every destination’s entry conditions.

Confirm passport requirements, visas or advance authorisations, and any relevant transit conditions. If travelling with a child, check the documentation required for that journey too.

Use the destination government’s or consulate’s official information, then check the carrier’s requirements separately. For US citizens, the State Department’s destination guidance covers entry, exit, visa and passport requirements; it should not be treated as the rulebook for other nationalities. [International Travel Checklist](https://travel.state.gov/en/international-travel/planning/checklist.html?ref=roadme.io).

An application is not an approval. Avoid committing to a departure that depends on an essential document arriving at the last moment.

For the wider preparation sequence, see [“How to Plan Your First Independent Trip: From Idea to Departure”](https://roadme.io/blog/how-to-plan-your-first-independent-trip-from-idea-to-departure/). A short-notice departure compresses the preparation period, but the checks still need to happen.

## Follow the journey all the way to check-in

Trace the complete route: home, departure point, arrival point, onward transport and accommodation. Repeat the exercise for your return.

Check the exact airports or stations, local times, date changes and baggage allowance. For connecting flights, establish how the tickets are arranged, what happens to baggage and what you must do between services. Use requirements for your actual itinerary rather than a universal connection-time estimate.

Pay particular attention to late arrivals. Landing at 11:20 p.m. does not mean leaving the airport at 11:20 p.m. Border procedures, baggage collection and the transfer still come afterwards.

Check whether suitable onward transport will be running and whether your accommodation can admit you at the expected arrival time. Obtain clear instructions if check-in happens outside normal reception hours.

If hiring a car, verify collection hours, driver requirements, payment conditions and the deposit. An online reservation alone does not answer every question about collecting it.

A cheap journey can be a poor fit for a short break if its transport arrangements consume much of the available time.

## Compare complete costs

Use the initial price to find options, then compare the amount needed for the whole trip. Keep the number of travellers, nights and required services consistent.

Include return transport, necessary baggage, accommodation with mandatory charges, transfers, food, local travel and your main activities. Add insurance, connectivity and any costs caused by inconvenient departure times.

Here is an illustrative comparison for one person staying two nights. These are invented figures demonstrating the calculation, not current offers.

| Expense                                                | Option A | Option B |
| ------------------------------------------------------ | -------- | -------- |
| Return tickets                                         | €120     | €160     |
| Required baggage                                       | €45      | Included |
| Two nights’ accommodation, including mandatory charges | €180     | €180     |
| Transfers to accommodation and back                    | €55      | €20      |
| Food and local expenses                                | €90      | €90      |
| **Total for the listed expenses**                      | **€490** | **€450** |

The lower headline airfare produces the higher total. If it also leaves less usable holiday time, the apparent saving becomes even less persuasive.

Account separately for money temporarily tied up in deposits or payment holds. A refundable deposit may not be a final expense, but you still need enough available funds while it is held.

Choose an option that leaves room for ordinary spending and a realistic contingency. If the budget works only when every uncertain cost turns out favourably, simplify the trip or choose a different offer.

## Check accommodation and your main reason for travelling

Start with the exact address, room category, occupancy and sleeping arrangements. Read recent reviews for recurring issues such as noise, cleanliness or difficult check-in.

Confirm arrival hours, key collection, mandatory charges and deposits. Verify any feature essential to your stay, such as accessible facilities, parking or late arrival arrangements.

Then check the activity that makes the trip worthwhile. Are tickets available for the event? Is the museum open on your travel day? Can you book the excursion? Does the forecast suit the activity you have planned?

If one particular visit is the main reason for going, establish its availability before paying for non-refundable transport. If alternatives would work, choose one in advance.

For a last-minute package, check the confirmed inclusions: flights, baggage, hotel, room category, meal plan, transfers and other services. A promotional image is not a substitute for the booking description.

## Read the terms and verify the seller

Establish which company takes payment and who will handle a problem with the reservation.

Read cancellation, date-change, no-show and refund conditions for each purchase. If free cancellation is offered, check its deadline and time zone. Do not assume every booking can be cancelled without loss the following day.

Save the selected fare, final price and included services. After paying, verify that you have the required ticket or confirmed reservation, rather than only an acknowledgement that a request was received.

Treat unexpected payment links carefully. Open the company’s genuine website or app independently before acting. The US Federal Trade Commission warns about fake travel offers and recommends checking companies directly rather than following unexpected messages. Its advice identifies scam warning signs; refund rights depend on the relevant jurisdiction and booking. [FTC travel website guidance](https://consumer.ftc.gov/consumer-alerts/2025/06/how-avoid-travel-website-scams?ref=roadme.io).

When buying transport and accommodation separately, check that both are available and compatible before committing. Then book in sequence, rechecking each purchase: prices and availability can change while you complete the other reservation.

## Prepare for the first few hours

After confirmation, gather the essentials for travel and arrival:

- tickets, the accommodation address and check-in instructions;
- contact details for transport, accommodation and your insurer;
- travel documents and necessary medication, with applicable transport rules checked;
- a working payment method and a backup;
- connectivity, charging equipment and offline access to key details.

Review the destinations, dates, activities and exclusions covered by your insurance. The FCDO checklist for British travellers also recommends appropriate coverage and a backup way to access essential information. > Before leaving, you can download your destination in [RoadMe](https://roadme.io/?ref=roadme.io) while you have internet access. Once the city is downloaded, maps and navigation are available offline.

Keep arrival day manageable: get to your accommodation, eat, rest and consider a nearby walk if you feel like it. For a practical approach to scheduling, see [“How to Balance Sightseeing, Travel Time and Rest on Your Trip”](https://roadme.io/blog/how-to-balance-sightseeing-travel-time-and-rest-on-your-trip/).

## Make the decision: book, clarify or change the trip

**Book** when your documents meet the requirements, transport and check-in work together, the main activity is available, and the full cost and purchase terms are acceptable.

**Clarify first** when a missing answer can be obtained before payment: late check-in, baggage inclusions or key collection, for example.

**Choose another option** when an essential authorisation is missing, a major transport stage does not work, significant costs remain unclear or the seller will not provide understandable terms.

You can leave room for spontaneous walks and changing plans. Make the arrangements that determine whether the trip is possible clear before paying.
