If you lose your passport abroad, get somewhere safe, make a focused check of your belongings and contact your country’s embassy or consulate. Report theft or loss to local police as appropriate to the local procedure. If you are due to travel soon, tell the consular staff and your carrier immediately.

You will need a valid document accepted for the journey. **A passport scan or police report does not, by itself, replace a travel document.** This guide explains how to organise the next steps, with separate US and British examples checked in October 2026\. Your nationality, document and current location determine the procedure.

## Secure your immediate needs and make a focused check

Check bag compartments, pockets, your accommodation safe and the place where you last handled the passport. Contact the hotel, transport provider or lost-property service if it may have been left there. If it was clearly stolen, move on to reporting and assistance without retracing every sightseeing stop.

Keep your accommodation address available, charge your phone and let a companion or trusted contact know what has happened. Contact the relevant banks if payment cards were also lost. If the phone is missing, protect the device and account access separately; the guide to [losing your phone while travelling](https://roadme.io/blog/what-to-do-if-you-lose-your-phone-while-travelling/) covers that task.

> If you still have your phone, you can use the offline maps and navigation in [RoadMe](https://roadme.io/?ref=roadme.io) when the city has already been downloaded while online. First verify the address of the relevant office through its official source.

For immediate danger or a medical emergency, use the local emergency service. For passport replacement, establish contact with the responsible authority rather than relying on an airport check-in desk to resolve the loss.

## Report the loss and contact the issuing country’s authorities

Write down when and where you last had the passport, when you noticed it missing and what else was lost. Describe the circumstances accurately; do not call an unexplained loss a theft unless that is what happened.

Ask local police how to make a report and retain the reference number or written confirmation if one is issued. Whether a police report is required for replacement depends on the issuing authority. For example, the US State Department says it is not mandatory for replacing a US passport abroad, although it can help establish the circumstances.

Use your government’s official directory to find the responsible embassy or consulate. Confirm its current address, service area, appointment procedure and contact route for urgent travel. A nearby office may not provide every passport service.

In your first contact, give your nationality, current location, available identification, a reliable way to reach you and the date of your next journey. Ask whether you should apply for a regular replacement or an emergency document. You can contact the consulate while arranging the local police report; you do not need to assume one universal sequence.

## Understand the replacement option for your nationality

An emergency passport and an emergency travel document are not interchangeable names for one worldwide service. Validity, permitted destinations, fees and application requirements differ.

**For US citizens**, replacement abroad involves an in-person application at a US embassy or consulate. Explain urgent travel when contacting the office. If there is insufficient time for a regular passport, consular staff may offer a limited-validity emergency passport. Do not assume that this document will meet every destination’s entry rules.

**For British nationals who meet the eligibility conditions**, an emergency travel document can allow urgent travel from abroad. Check the official eligibility guidance before applying. Travel plans may be printed on the document; changing those plans can require a new application and another fee. GOV.UK advises against booking travel until you receive confirmation of how and when to collect it.

For another nationality, use that country’s procedure. Do not apply US photo specifications, British application steps or another traveller’s turnaround time to your own case.

## Gather identity evidence and application details

Ask the responsible office for its actual checklist. Commonly useful material includes available identification, evidence of nationality, details or a copy of the missing passport, the police report if you have one, and your itinerary. Bring the originals and copies specified by the authority.

Check the required photo format before paying for photographs. Use the correct application form and explain the circumstances of the loss in the requested detail. For a child, confirm who must attend and what parental or legal-representative documentation is required.

If every identity document has gone, still contact the consulate. Explain exactly what you can provide and whether a trusted person can help retrieve copies. Missing evidence may mean further checks; it does not justify inventing a document or using someone else’s identification.

Prepare a short reference note containing:

- your full name as shown in the passport, date and place of birth;
- nationality and known details of the missing document;
- the circumstances and approximate time of the loss;
- your current address and a working contact;
- travel dates, flight numbers and countries on the proposed route;
- a list of the identification and copies still available.

Send identity copies through the official channel the authority specifies. Avoid posting a passport image publicly when asking strangers for help. A copy can support checks; it does not become a replacement passport.

## Validate the journey before committing to new travel

Receiving a replacement document is one part of the process. Check the complete journey against four separate conditions:

1. The document is valid for the proposed dates and purpose.
2. The country you are leaving accepts it and any local immigration formalities have been addressed.
3. Every transit and destination country accepts it for your circumstances, including any visa requirements.
4. Each carrier has confirmed its document and booking requirements.

If a visa, entry stamp or residence document was lost with the passport, ask the responsible immigration authority what must be replaced or confirmed. A new passport does not automatically recreate the missing permission or extend your authorised stay.

Recheck connections using the new document type. An exemption that applied to a regular passport may not apply to an emergency document. The guide to [checking transit visa requirements](https://roadme.io/blog/transit-visa-how-to-check-whether-you-need-one-for-your-layover/) explains the route questions, but the answer must now reflect the document you will actually carry.

A direct journey can reduce the number of transit conditions to check. It is still necessary to confirm departure and carrier requirements. Conversely, do not assume that every connection is prohibited simply because the document is temporary.

Retain confirmations and ask how to update passport details in the booking. Carry the issued original when required; a photograph of the replacement is not a substitute for presenting it.

## Arrange accommodation, costs and time to attend

Prioritise a place to stay, communication, transport to the appointment and enough time for the procedure. Tell your accommodation provider and carrier if plans may change. Office hours, additional identity checks and collection arrangements can affect the travel date.

Budget for the applicable document fee, photographs, local transport, extra accommodation and ticket changes. If you have travel insurance, ask the assistance service whether document loss and related expenses are covered. Confirm any approval requirement before spending and retain receipts. Do not assume that either insurance or a consulate will pay every cost.

> Once the urgent arrangements are settled and you know how much time remains, you can adjust your sightseeing plan in [RoadMe](https://roadme.io/?ref=roadme.io) by removing or replacing unsuitable stops. Keep the appointment and document collection clear in your schedule.

If you have no money or reliable means of contact, explain that to the consulate and a trusted person promptly. Ask about available assistance rather than assuming replacement and travel can be completed immediately.

## If the passport turns up, check its status before using it

Finding the booklet does not necessarily restore its validity. Once a passport has been cancelled following a loss report, it must not be used for travel. Contact the issuing authority about its status and tell the consulate if a replacement application is already underway.

After travelling, follow the instructions for retaining, surrendering or exchanging the emergency document. It may only cover the approved journey or have limited validity. Check the replacement process before planning another international trip.

For future travel, keep securely accessible copies of passport details and relevant visas separately from the original. Save official consular contacts and essential booking information in a way that remains available if one bag or device disappears. These preparations help you retrieve evidence and contacts; they do not remove the need for an accepted travel document.
