Before you book, calculate the full cost of the stay and the money you may need temporarily for a security deposit or card hold. Mandatory cleaning fees and local taxes can increase your expenses. A refundable security deposit affects the funds available to you, while an advance payment already forms part of the accommodation price.

This guide covers separately booked hotels, holiday apartments and other short stays. Property terms, platform policies and local rules vary; ongoing residential leases are outside its scope.

## Compare the same stay and the services you need

Set the dates, guest count and room requirements before comparing prices. A room-only rate for one person is not directly comparable with an apartment for two that already includes cleaning and parking.

Sketch out your days as well. If you expect to leave early each morning, an optional breakfast may have little value. If you will not bring a car, leave optional parking out of both calculations.

> To organise your visits before choosing accommodation services, you can try [RoadMe](https://roadme.io/?ref=roadme.io): it creates a day-by-day plan around your dates, interests and pace. Use that outline to decide which services fit your trip.

Check the final price for your actual guests and dates, then read what remains payable at the property. The amount due online and the total cost of the stay can differ without either being the security deposit.

If you are still choosing a type of accommodation, compare [hotels, apartments and hostels](https://roadme.io/blog/hotel-apartment-or-hostel-which-accommodation-suits-your-trip/). Assess the particular offer rather than assuming every apartment includes utilities or every hotel includes breakfast.

## Separate expenses, advance payments and temporary holds

The word *deposit* is ambiguous. A booking deposit can be an advance payment towards the room. A security deposit covers possible obligations such as damage or unpaid extras. Ask which one the property means.

| Payment | How to budget for it | What to establish |
| ---------------------------------------- | ----------------------------------------------------- | ------------------------------------------------------ |
| Accommodation and advance payment | Count the price once; the advance reduces the balance | What has been paid and what remains due |
| Mandatory fees and taxes | Include them if they are not already in the total | Whether they apply per guest, night or booking |
| Optional services | Add the services you actually select | Price, availability and how to decline them |
| Refundable security deposit or card hold | Allow for temporarily unavailable funds | Amount, payment method, release process and deductions |

Record each charge's unit. A one-off cleaning fee has a different effect on a three-night stay from a nightly parking fee or a tax charged per guest per night.

Also distinguish an estimate from a confirmed amount. If a property charges utilities by consumption, ask how the bill will be calculated rather than treating the initial estimate as a fixed price.

## Check security deposit and card hold conditions

A hotel may authorise money on your card for the expected stay and incidentals. That authorisation can be higher than the quoted room price. Hilton explains that its holds can include estimated incidentals and that the card issuer may take additional time to release the funds. This describes Hilton's process, not a universal release deadline.

Before arrival, ask about:

- The amount and currency of the deposit or hold.
- Whether it is an authorisation, an actual charge or a cash deposit.
- Accepted cards and other payment methods.
- Whether the room payment is included in the hold.
- Conditions for deductions and when the property initiates release or repayment.

Do not assume a debit card, a prepaid card or cash will be accepted simply because you used that method to book. Confirm the property's requirements while there is still time to make arrangements.

Platform rules also matter. Airbnb says most hosts cannot charge security deposits, with exceptions including certain software-connected hosts and disclosed hotel procedures. A host's request alone does not establish that the platform permits the payment.

On arrival, report obvious existing damage through the agreed contact channel and keep the response. Photographs can help record the initial condition, but they do not replace the booking terms or guarantee repayment.

## Find out how the destination calculates tourist tax

Tourist or accommodation taxes do not follow one international formula. Check whether the destination uses a percentage of the accommodation price, a fixed amount per guest per night or another method.

For example, Amsterdam's municipality explains that accommodation providers collect tourist tax from guests and pay it to the city, with the overnight tax calculated from the accommodation price. Do not treat a flat per-person charge quoted elsewhere as Amsterdam's method.

For your destination, establish whether the tax is already included, where it is payable and whether any relevant exemptions apply. Check the local authority's information when a rule depends on age or another personal circumstance.

A property fee is a different category from a government tax. A resort or destination fee does not become a municipal tax merely because of its name.

## Read the cleaning fee and service terms

A mandatory end-of-stay cleaning fee is different from housekeeping during the stay. Ask whether the fee applies once per booking or to each visit, and whether linen changes or extra towels have separate prices.

Read the departure instructions too. A cleaning fee does not by itself cancel an agreed requirement to remove rubbish or wash used dishes. If the instructions or potential extra charges are unclear, request clarification before booking.

For an apartment, check electricity, heating and water as well. If utilities are billed by use, ask for the rate, the meter-reading process and the settlement method. This makes comparison with a fixed-price offer more meaningful.

Do not assume every separately listed cleaning fee will be refunded if you cancel. Read the applicable policy and the payment breakdown. For the wider cancellation decision, see [non-refundable rates versus free cancellation](https://roadme.io/blog/non-refundable-booking-or-free-cancellation-how-to-compare-hotel-rates/).

## Check the total price and avoid paying twice

Rules on advertised prices depend on the market. In the United States, the FTC's rule for short-term lodging requires advertised totals to include mandatory fees such as compulsory cleaning and resort charges. Government taxes and genuinely optional additions may be excluded initially, with the final payment amount disclosed before payment is requested. The rule does not ban the fees themselves.

For offers to UK consumers, CMA guidance requires unavoidable charges and taxes to be included upfront where the total can reasonably be calculated; where it cannot, the information needed to work it out must be presented clearly. Charges payable locally still need appropriate disclosure.

These are specific US and UK examples, not worldwide rules. In every comparison, check whether a displayed breakdown explains an existing total or adds an amount to it.

Add optional breakfast, parking, pet accommodation and luggage storage only when relevant. Early check-in and late check-out also require confirmation: willingness to pay does not guarantee that a room will be available.

> If you have time to explore after check-out, you can use [RoadMe](https://roadme.io/?ref=roadme.io) for a short two-hour route from your current location. Allow separate time to collect stored luggage and reach your departure point.

An unavoidable resort fee is not necessarily removed because you decide not to use the pool. Establish whether the charge is compulsory under the offer before treating it as optional.

## Calculate the stay cost and the check-in requirement

Suppose two adults book an apartment for three nights. All amounts below are illustrative US dollars; they are not a real property's rates or a tax schedule for a particular destination. The room price has already been paid, while the other amounts in this example are due at arrival.

| Item | Calculation | Amount |
| --------------------------- | ------------------------- | -------- |
| Accommodation | $120 × 3 nights | $360 |
| Mandatory final cleaning | Once per booking | $45 |
| Local tax not yet included | $3 × 2 guests × 3 nights | $18 |
| Selected parking | $15 × 3 nights | $45 |
| Full stay cost | 360 + 45 + 18 + 45 | **$468** |
| Refundable security deposit | Separate temporary amount | **$200** |

The accommodation and selected services cost **$468**, assuming the security deposit is returned in full. You need another **$308 at arrival**: $108 in unpaid expenses plus the $200 deposit.

The total funding requirement before the deposit comes back is **$668**, including the $360 already paid. This is not a $668 accommodation expense: $200 is temporarily unavailable.

If an authorisation already includes the room payment, do not add that same room cost again. For different payment currencies, keep the original amounts and check the conversion and fee terms of your payment method.

## Keep the breakdown and follow up on unexplained charges

Save the final price, included services, locally payable amounts and deposit terms before paying. At check-out, request an itemised bill and confirmation of any deposit repayment or hold release.

If a new fee appears, compare it with the saved offer and ask the property to explain its basis in writing. For a security deposit deduction, request the amount, reason and supporting information. If you used a booking platform, contact its official support channel as appropriate.

A pending authorisation and a completed charge are different transaction states. Ask your card issuer to clarify an unclear entry before assuming the room has been charged twice. If the stated release or repayment period has passed, retain the bill and correspondence for your follow-up.

Before committing to a booking, you should be able to identify the full cost, the amount required at arrival and the money expected back after departure.
